Guidelines

 

Membership Requirements:

All members are required to submit by email a bi-weekly Top 10 report of your most popular and active records. Within one week you are also required to login and submit your reaction on the previously serviced material. This is mandatory due to extensive pressure from the labels. No feedback, no reactions, no charts, no product, no membership! The pool system is always under extreme scrutiny and reactions must be done.

FTP or HTTP Electronic file Transfer
We now accommodate FTP or HTTP Electronic file Transfer from record companies. More companies are finding it economical and convenient to service pools electronically. With this technology its easily to do a global promotion. This process eliminates overhead charges like shipping, customs & broker fees and manufacturing cost of promotional product.


Pick Up and Delivery:

You may pick your product up during the week after 5 PM. This schedule does not include holidays. Where Saturday and Sunday become holidays, contact the pool Director for alternative arrangements. You can also check of new product is available for pickup by going to the What’s New Link

Out of Town Members:
If you’re an out of town DJ we will ship via Canada post on the 15th and 30th of each month. You can also contact your director to make other arrangements providing your monthly dues are paid up.


Notices of Employment, Vacations, Absenteeism, etc:

Please advise the pool Director within 30 days of any change, including loss of employment. As a member, your service will not be suspended or terminated even if you are out of work, provided that you give feedback on the music you have received and maintain your other pool obligations (payment of dues, attendance at meetings, etc). If you are going on vacation, or taking a leave of absence for any reason, or cannot pickup your product on a timely basis, please advise your Director DIRECTLY. There is a possible suspension and permanent disqualification from the pool if you do not. Please remember that being a member is a privilege.

Change of Address and Contact Information:
Please ensure that your current address, phone number and E-mail address are made available whenever required. The Director must also be notified of any changes regarding where (club/station) you play. Your details should be on file at all times..

Meetings:
Out of town members are not required to attend meetings they are for local members only. Whenever pool meetings are called the meetings are attendance mandatory. If you cannot attend, a courtesy call to the Pool Headquarters is a must.

Primarily there are two types of meetings: "Pool Members-Only" and " Members & Company Reps". Limited refreshments are provided when possible at the latter type of meetings. Both types are equally important: internal meetings gives members a chance to discuss member-only issues, suggest items that need to be brought to the attention of the music companies, examine and improve existing pool processes, share new ideas, and plan for future activities.

External meetings allow music representatives to discuss and present their priority product, and discuss various issues with pool members. As a critical member of the pool and music promotion process you are therefore obligated to attend. The continuity of the pool system and your membership in it is critically dependent on your attendance at pool meetings.

Delinquent Members:
By becoming a pool member you go beyond being an ordinary DJ - you commit to being a much broader active participant in the music promotion industry. Membership brings you special privileges, but it also involves responsibilities on your part. The most important are:

  • Pay your dues on the first of every month.
  • Submit a bi-weekly Top 10.
  • Constructive, credible and complete reactions within 7 days.
  • Local member participation in meetings and activities.

This is because a successful pool system involves significant time, effort and expense to operate - and as explained earlier requires commitment and obligations by its members.
The following processes are therefore carefully monitored: (a) payment of dues; (b) product pickup, and feedback response time; and (c) attendance at meetings. If you are found to be delinquent in any of these, the Director will verbally advise you. If an economic or personal situation is the cause then a temporary solution may be negotiable. However, the Director reserves the right to withhold product until such time that dues are paid up and/or reactions have been completed.

If you continue to be delinquent you will be put on notice in writing. You will have one week from that point to bring your accounts and reactions to date, and commit in writing to pay your dues on the first of every month and provide a weekly Top 10, and reactions within 7 days. Otherwise your membership will be suspended or terminated depending on the discretion of the Director. Once terminated, all the record companies and formally sanctioned record pools will be advised of your non-status with this pool and the related circumstances.

Communication with the Record Companies:
Some company representatives encourage direct communication with pool members, others prefer you communicate only through your Director. In any direct communication with company, it is essential that you CC (copy) your correspondence/E-mail to your Director and keep him in the loop of any promotion related matters that you may have discussed.
